1. Policy Overview
This Cancellation Policy outlines the guidelines, methods, and results associated with canceling active subscriptions, modular additions, or software licenses provided by Clops Technologies Private Limited ("Clops", "we", "us", or "our"). By purchasing or renewing any billing plan on the Clops platform, you confirm your understanding of and agreement with these terms.
2. How to Cancel Your Subscription
You can cancel your Clops plan subscription at any time. We support multiple cancellation methods:
- Self-Service Billing Portal: Navigate to your workspace settings panel, select "Billing", and click "Cancel Subscription". Confirm your decision to immediately record the cancellation status.
- Email Notification: Send a written cancellation request containing your workspace domain and account identifiers directly to billing@clops.co or support@clops.co. Please submit email-based requests at least 3 business days prior to your renewal date to ensure processing before the invoice fires.
3. Effect of Cancellation
Once a cancellation request is logged, the following provisions apply to your workspace data and system access:
- Remaining Access Period: Your workspace remains active and fully functional until the end of your current paid billing period (monthly or annual). No further automatic charges will occur.
- Data Retention and Deletion: Following the end of your final active billing period, your workspace will be set to a deactivated state. We retain your workspace files, CRM deals, and database integrations for a period of 30 days to allow for restoration. Upon the expiration of this 30-day grace period, all database tables, configurations, and records are permanently deleted from our active backup servers.
- Data Export: Prior to the termination of your billing cycle, you are highly encouraged to use our export tools to download your CRM data, ERP spreadsheets, and SOP markdown files. We are unable to retrieve database data once the grace period ends.
4. Cancellation of Trial Accounts
Some Clops products offer an introductory trial period (e.g. 14 days). You can cancel your trial at any time during this period. If your trial requires credit card inputs, you must cancel the trial before the trial expiration date to prevent transition to a paid subscription tier.
5. Termination by Clops
We reserve the right to suspend or terminate your workspace access immediately, without prior notice, in the event of non-payment of active invoices, structural abuse of infrastructure API requests, or general violation of our platform Terms & Conditions.
